Where are you located? We are located just off US31 and east on 256th Street in Arcadia, IN.
How many people can you accommodate? We can accommodate up to 350 guests. Please note that events with our max capacity will have a tighter floor plan and not all areas will look the same setup as they are on the tour.
What is the average budget of a couple getting married at White Willow Farms?
That is a great question! In general, we believe the average budget of a couple getting married White Willow Farms is between $18,000-$20,000 for all wedding expenses (venue, food, dress, DJ, photographer, etc.). We have had some couples with smaller guests lists host beautiful weddings in the $12,000 - $14,000 range, and we have had several events that are spending significantly more than the average.
Is the venue temperature controlled? We will be temperature controlled by spring of 2019!
Do you have permanent bathrooms? Your private bridal suite has a private restroom, but a luxury portable, temperature controlled restroom will be provided for your guests and is included in the price of the venue rental.
Do you provide linens? No. White Willow Farms provides an awesome venue, tables, upgraded wedding chairs, and several antique decor pieces. Please see our optional linen packages. Feel free to purchase your own or get them from another source.
Is there a designated area for bridal parties to get ready? There is a temperature-controlled bridal suite with plenty of space for the bridal party to get ready. There are vanities, a small kitchen area, and a lounging area with a private bathroom.
There is a groom room under way and will be complete by April!
Can we have our furry friends in our wedding? Yes, please make sure that they approved by White Willow Farms, and must remain on a leash at all times and cleanup after them.
If I want to have just the reception on site, does the price change? No, the price will not change.
Is my deposit refundable if I cancel? No, it is not.
How do I reserve a date? Please email us for a contract. We do not take any reservations in person. A 50% deposit is required to hold any dates. firstname.lastname@example.org or 317-376-8446.
What time will I have access to the venue to decorate?
You will have access to the venue at the time listed on your contract, not earlier. Please plan accordingly! We may have events the day before or after yours, so decorating the day before won't be possible unless you have booked the weekend package.
Do you have sound equipment available for use? No we do not. Please ask your officiant or DJ to provide those items. We do have outside power around the barn and can run electrical to the outdoor chapel.
If we choose the single day package, will we be able to access the location early to rehearse our ceremony and start decorating?
If you elect the single day rental, our venue will likely be reserved by another couple the night before. For that reason, one day rentals should plan for an offsite rehearsal. You are also welcome to to bring anyone who would feel more comfortable understanding the venue (such as your DJ or minister, or any little ones in the wedding party) to one of our monthly open houses.
Do you include a "wedding day coordinator?"
Our answer is no. We think its possible for the job duties of a "day-of wedding coordinator" to mean something different to you than it does to us, and the last thing we want is the opportunity for miscommunication. We have great recommendations to add one on to your package at as special rate! They play a huge role in your day and making sure every thing goes as planned, events stay on time, vendor management, and so much more! Our goal as as the venue and is to do everything possible to help your day go smoothly and ensure your day is as stress-free as possible!
Do you require a specific caterer to be used? No, you may use whatever caterer you'd like, however, we do highly recommend you use one of our recommended caterers that is experienced & trusted!
Will there be another wedding the same day?
No, we will only host one wedding each day to ensure that each couple's event is special and receives our full attention. However, there may be weddings the day before or after.
Is there any cleaning that is required? The only cleaning that we require is that the caterers take out all trash to the dumpsters during and after the event. We also ask that you remove any food, boxes, or large trash items from the bridal suites.
What time does the music need to end?
Music on Friday's/Saturday's must conclude by 11 p.m. to ensure that you, all of your items, and all of your vendors are off-property by midnight. Music on Sunday's must conclude by 9:30 p.m. to be off property by 10:00 pm.
Do you allow smoking? We have a designated smoking area out front, but there is absolutely no smoking inside the event barn or outside of the designated smoking areas.
Can vehicles be left overnight?
No vehicles can be left overnight. Please advise your guests of this policy due to the possibility of other events taking place the next day. We appreciate your understanding.
Do you allow candles? We do. ONLY small tea lights may be used and MUST be enclosed in glass vases, lanterns, or terrariums.
If I plan an outdoor ceremony, what happens if it rains? Unlike many venues, White Willow Farms has enough indoor space to allow for a ceremony space as a back up in case of rain. This means that in the case of inclement weather the venue doesn't have to be "flipped" from your ceremony to the reception. Reception tables are all available to be setup prior to the ceremony and need not be moved in case of rain. This ensures a smooth transition into the reception and makes the decision to bring a ceremony inside (or not) much less stressful. Please refer to our floor plans under DETAILS>RESOURCES.
We are using a rental company. Can they drop items off or pick them up outside of the rental period?
All deliveries must happen during the standard rental period. Please advise your vendors of this policy.
